Introduction
Ezurio, Inc. and its subsidiaries (collectively, "Ezurio," "we," "us," or "our") provide wireless modules, system on module, single board computer, and IoT connectivity products and services. This Virtual Meetings Privacy Policy explains how we handle personal information that we collect through our virtual meeting and recording platforms.
We use two virtual meeting platforms:
- Microsoft Teams for live meetings, calls, and webinars.
- Loom for recorded screen content and for AI Notetaker capture of live meetings.
Each is referred to in this policy as a "Platform."
By participating in a virtual meeting hosted or recorded by Ezurio, you consent to the use of your personal information in accordance with this policy.
Notice of Personal Information Collection and Use
Ezurio uses secure virtual meeting platforms so that meetings can take place remotely. You do not need to submit personal information to attend a meeting. Before a meeting starts, you may turn off your camera, mute your microphone, or use the chat function if you do not want your face or voice captured in a recording or transcript.
When a meeting is recorded or transcribed, we may process personal information of attendees. Attendees may include Ezurio employees, customers, partners, contractors, vendors, and other external participants.
Personal information collected through a Platform may include, without limitation:
- Personal details, contact details, and other identifiers, such as your name, email address, username, organization, and telephone number.
- Your picture or video image, including the visible background. We recommend using background blur or a background image filter.
- Your participation in the meeting, including audio, chat messages, shared documents, screen sharing, and reactions.
- Recording metadata, including join and leave times, the device or client you used, and your stated location when shared.
Ezurio does not actively seek sensitive personal information (also known as special category personal data). If you choose to share sensitive personal information during a meeting, you consent to our use of that information in line with this policy or as otherwise agreed at the time of disclosure.
We use personal information collected through a Platform for legitimate business purposes. These include managing our business relationship with you, delivering our products and services, training our employees, improving our offerings, supporting customer engagements, and fulfilling legal and contractual obligations.
Disclosures and Transfers
Ezurio may disclose or transfer personal information collected through a Platform to:
- Third-party service providers and subcontractors who help us operate our business and our virtual meeting platforms.
- Ezurio subsidiaries and affiliated companies.
- Other parties as required by applicable law, regulation, or legal process, including subpoenas and court orders.
Ezurio operates from offices in the United States (California; Ohio; Wisconsin), the United Kingdom, Taiwan, and other U.S. and international locations. Personal information may be transferred to and processed in countries other than the country in which it was collected. We take reasonable steps to ensure that recipients of your personal information protect it consistent with this policy and with applicable data protection laws.
By participating in a virtual meeting hosted or recorded by Ezurio, you consent to the transfer of your personal information in accordance with this policy.
AI Systems
"AI System" means any product, service, or feature that uses machine learning software, algorithms, models, hardware, or other artificial intelligence tools to generate information or to make predictions, recommendations, or decisions.
Ezurio uses AI Systems in connection with virtual meetings. This includes:
- Real-time and post-meeting transcription.
- Automated meeting summaries, action items, and follow-up notes.
- Speaker attribution in transcripts and captions.
- Search and retrieval across recorded meetings.
- Other AI-assisted features supported by our approved meeting and AI tools.
By participating in a recorded or transcribed virtual meeting, you consent to your meeting content being processed by AI Systems for these purposes.
You retain ownership of your personal information. Ezurio retains ownership of AI-generated outputs derived from meeting content, such as summaries, notes, action items, and reports, to the extent permitted by applicable law. Ezurio uses these outputs for internal business purposes consistent with this policy.
Ezurio uses only approved AI tools to process meeting content. Use of third-party AI note-taking tools by Ezurio personnel is governed by the Ezurio IT Handbook.
Data Security and Integrity
The security of your personal information is important to us. We apply technical and organizational safeguards to protect data collected through our virtual meeting platforms.
No method of transferring data over the internet or storing electronic data is completely secure. By using a Platform, you acknowledge that internet transmission carries inherent risk. You assume the risks associated with that transmission.
You are responsible for the accuracy and completeness of the information you provide during a virtual meeting.
